Using Vendor Account Sticky Notes on the Vendor Invoice Audit Page
Discovery includes a feature that integrates vendor account sticky notes directly into the Invoice Audit Page. With this feature, sticky notes that have been added to vendor accounts will be visible while auditing invoices, saving you time and improving workflow efficiency.
For instance, if a vendor overcharges, you can leave a reminder sticky note to short-pay the next invoice, or note unique billing practices for future reference.
How to Access Sticky Notes on the Invoice Audit Page
Navigate to the Invoice Audit Page:
- Open the vendor invoice you want to review in Audit.
View Vendor Sticky Notes:
- At the top right of the invoice audit page, look for the section labeled Vendor Account Sticky Notes.
- This section will display any sticky notes that have been added to the corresponding vendor account.
Add/Edit a Sticky Note from the Invoice Audit Page:
- To add or edit a sticky note to the vendor account directly from the audit page, click on the pencil icon located in the Vendor Account Sticky Notes section.
- A cursor will appear where you can type your note. Once completed, click Save to add the sticky note to the vendor account.
What You Can Do with Sticky Notes
View Existing Sticky Notes:
- Any sticky notes previously added to a vendor account will now be visible while auditing invoices, directly in the Vendor Account Sticky Notes section on the audit page.
Add Sticky Notes:
- You can add a sticky note for a vendor account directly from the invoice audit page, without needing to navigate away.
- Notes can be used for various purposes such as:
- Overcharge reminders: "Short pay next invoice due to overcharge."
- Unique billing practices: "Vendor applies a late fee after 30 days."
- Service-level reminders: "Check pricing terms for upcoming renewals."
Edit or Delete Sticky Notes:
- To edit a sticky note, click the pencil icon next to an existing note, make your changes, and then click Save.
- To delete a note, click the pencil icon to edit the note, and then remove all of the text. Click Save.
Example Use Cases
Overcharge Reminder:
- Scenario: A vendor overcharges you on an invoice, and you need to remind yourself to short-pay the next invoice while you wait for a credit.
- Action: You can add a sticky note such as: "Short pay next invoice due to overcharge. Awaiting credit."
- This reminder will appear directly on the invoice audit page when reviewing future invoices from this vendor.
Unique Billing Practices:
- Scenario: A vendor applies special billing terms such as a late fee after 30 days.
- Action: You can add a sticky note such as: "Vendor applies 5% late fee after 30 days."
- This note will be visible each time you audit an invoice from that vendor, helping you keep track of their billing policies.
Best Practices
- Use Sticky Notes for Common Issues: If a vendor frequently overcharges or has unique billing practices, create a standard note for easy reference.
- Keep Notes Clear and Concise: Make sure your sticky notes are easily understandable to anyone auditing the invoice.
- Regularly Review Sticky Notes: Before finalizing invoice approvals, review any sticky notes for that vendor to ensure no important reminders are missed. You may also delete sticky notes that are no longer relevant.
