Missing Vendor Invoices Report

Overview

The Missing Vendor Invoices report identifies vendor accounts that have no invoices recorded for one or more months within a selected date range. Use it to catch billing gaps before they become reconciliation problems — for example, confirming that every active vendor account delivered an invoice for each month it was expected to.

By default the report only shows accounts with zero invoices for a given month. You can optionally include accounts that do have invoices to get a full picture of invoice activity across your vendor accounts.


Filters

Filter Required Description
Start Month Yes The first month to include in the report (format: MM/YYYY).
End Month Yes The last month to include in the report (format: MM/YYYY).
Filter by Vendor or Vendor Account No Narrow results to a specific vendor or a specific vendor account number. Type to search.
Filter by Client Company / Client Account / Location No Narrow results to accounts associated with a specific client company, client account, or location. Type to search. (Only visible to users with vendor invoice auditing access.)
Include Accounts With Vendor Invoices No When toggled on, the report includes rows where invoices were received — not just missing ones. Useful for auditing total invoice volume.
Show Locations No When toggled on, each row also displays the client company and location associated with the vendor account. (Only visible to users with vendor invoice auditing access.)

Use the Clear button to reset all filters back to their defaults.


Report Columns

Column Description
Month The billing month being evaluated.
Vendor Name The vendor. Click to open the vendor record.
Account Number The vendor account number. Click to open the vendor account record.
Number of Invoices How many invoices were found for this vendor account in this month. A value of 0   means the invoice is missing.
Latest Invoice Date The date of the most recent invoice ever received for this account, regardless of the month shown in the row.
Billing Frequency How often the vendor account is expected to invoice (e.g., Monthly).
Client Company (Shown when "Show Locations" is enabled.) The client company associated with this vendor account.
Location (Shown when "Show Locations" is enabled.) The specific location associated with this vendor account.

Exporting

Once the report returns results, an Export to CSV button appears in the top-right of the results area. Clicking it queues the export and delivers the file when it is ready. The export reflects all currently applied filters.


How the Report Works

For each month in the selected range, Discovery looks at every vendor account that was active during that month (based on its first fiscal period and termination date). It then checks whether any invoices — from either the OCR processing queue or the vendor invoice audit workflow — were received for that account during the month.

Rows where the invoice count is zero represent potential billing gaps. Rows with a non-zero count appear only when Include Accounts With Vendor Invoices is enabled.


Common Use Cases

  • Monthly billing audit — Run for a single month after your billing cycle closes to confirm no vendor accounts were skipped.
  • Gap analysis over a date range — Set a multi-month range to identify recurring patterns of missing invoices from specific vendors.
  • Vendor account research — Filter to a specific vendor or vendor account to review its invoice history across months.
  • Location-level review — Enable "Show Locations" to see which client sites are affected by missing invoices.
