Sticky Notes: Where Related Notes Appear

Sticky notes let you leave reminders on a record: a payment hold on a client company, gate codes for a location, or a billing quirk for a vendor. Some pages also show the sticky notes of the records they belong to, so you see those reminders without leaving the page you're working on.


Which records have sticky notes

Each of these records has its own sticky note, which you can edit from that record's page:

  • Client Companies
  • Client Accounts
  • Locations
  • Services
  • Vendors
  • Vendor Accounts
  • Vendor Invoices (on the Vendor Invoice Audit page)
  • Vendor Credits

Each record has one note, and everyone in your organization sees the same note.


Three pages also show notes from related records, under a Related heading:

For example, a note on a client company saying "Hold all payments until further notice" shows up on the page for each of its locations and services. You'll see it whichever of those pages you're working on.


Under the page's own note is a row of buttons, one for each related record. Each button has a small dot:

  • Filled (amber) dot: that record has a sticky note.
  • Gray dot: that record has no sticky note.

Click a button to open that note under the page's own note. Click it again to close it. Only one related note is open at a time.

The open note shows which record it belongs to (for example, the client company's name), who last changed it, and when.

If a related record doesn't exist, for example a location with no client company, its button isn't shown.


Editing notes

You can only edit the note for the page you're on. Related notes are read only, so a note that applies to many records can't be changed by accident from one of them.

To edit this page's note:

  1. Click the pencil icon on the sticky note.
  2. Type your note. You can use bold, bulleted or numbered lists, and headings.
  3. Click Save, or Cancel to discard your changes.

The Related buttons are hidden while you're editing and come back when you save or cancel.

To edit a related note: open it and click the record's name in the note's header. That takes you to the record's page, where you can edit its note.

To delete a note: click the pencil icon, clear all the text, and click Save.


Choosing where to put a note

A note on a higher-level record reaches more pages. Put each note at the level where it applies:

Best practices

  • Put the note at the right level. Don't copy the same reminder onto every location. Put it once on the client company.
  • Check the dots before you start working on a service or an invoice. A filled dot means there's something to read.
  • Keep notes short so they can be read at a glance.
  • Remove notes that no longer apply, especially on client companies and vendors, since they show up on many pages.
