How do I Connect Rebates to Pickups?

Rebates are cost adjustments tied to a specific service at a location. They are used when part of a vendor cost is passed back to the client as a credit.

Each rebate is linked to:

  • A client company
  • A location
  • A service level

Pickups represent instances when waste materials were collected from a specific location by a hauler. They encompass details such as the pickup date and the weight of the materials gathered.

This guide explains how to link a Rebate to a Pickup in Discovery, either by attaching it to an existing pickup or creating a new one.

A Rebate and a Pickup have a 1-to-1 relationship. One rebate can connect to only one pickup.


When Can I Connect a Rebate to a Pickup?

You can make connect a rebate to a pickup:

  • When creating a new Rebate
  • When editing an existing Rebate (even if it has already been included on a client invoice or credit memo)

You cannot connect a Pickup to a Rebate from the Pickup edit page.

All linking and unlinking must be done from the Rebate page.


When creating a rebate, you will have the option to connect the rebate to a pickup.  The options for connection are:

  • New: Creates a new pickup using data from the rebate
  • Existing: Select from a list of existing pickups
  • None: Do not connect the rebate to a pickup at this time



Option 1: Create a New Pickup from the Rebate

If you choose New, Discovery will:

  • Create a new Pickup
  • Set the Pickup Source to: Rebate  
  • Automatically link it to the Rebate

How New Pickup Fields Are Set

Option 2: Attach the Rebate to an Existing Pickup

If you choose Existing, you will be prompted with a list of eligible pickups.

The list of pickups is:

  • filtered to display pickups from the same month as the Rebate Date.
  • based on matching service (SSL) data

When attaching a pickup:

  1. You may select only ONE pickup.
  2. Click Connect.

What Gets Updated on an Existing Pickup?

When attaching to an existing pickup, the following rules apply:

Weight (Value & Unit) Overwritten with rebate value

Cost Set to negative rebate sale amount + taxes (not editable)
Estimated % Full Overwritten to null


Option 3: Do Not Connect the Rebate to a Pickup

If you do not wish to connect a pickup at this time, you can still do so later by following these steps.

  1. On the rebate view page, click on Actions.
  2. Select whether you wish to:
    1. Connect to New Pickup
    2. Connect to Existing Pickup

When you remove the connection between a rebate and a pickup, the pickup data will revert to line item-generated data.


Viewing the Connection

When a Pickup is attached to a Rebate:

  • The linked UUIDs are displayed (similar to how work orders attach to pickups).
  • The relationship is clearly visible on the Rebate record.
When viewing a rebate, you can clearly see the linked pickup.

Removing the Connection

Discovery allows you to remove the connection between a rebate and pickup.  To do so, follow these steps.

  1. On the rebate view page, click on Actions.
  2. Select Remove Connection to Pickup.


Key Rules to Remember

  • A Rebate can connect to only one Pickup

    Linking/unlinking is done only from the Rebate page

    Attaching to an existing Pickup will:

    • Overwrite weight
    • Mark the Pickup as manually modified

      Creating a new Pickup will:

    • Use the Rebate as the source
    • Lock weight and cost fields
